The Parent Contact List
What is it?
A Parent Contact List is an initiative of the Parents and Friends Association to make it as easy as possible for parents to interact with other parents in their son's year. A first step in this process is to provide parents with a list of names of other parents in their son's year who have agreed for their details to be included. The Parent Contact List is also used to help the Masters In Charge (MICs) and the Presidents of the Supporter's Club notify you of activities involving your son.
What information will be included on the list?
- The names of parents/guardians with whom the student resides (max 2 names)
- Mobile phone numbers of those parents/guardians
- Home phone number and suburb
- Son's name and the class year coming up (e.g. year 7)
- As provided on the Parents Contact List authorisation form
Who will recieve it?
The list will be distributed to all Parents in your son's year. If you have more than one son you will receive a Parent Contact List for each year that you have a son in. MIC's as well as
the Presidents of the Supporter's Club of the activities involving your son will also have access to be able to keep you updated of the events relating to your son.
How can you apply to be in the parent contact list?
You can print a hard copy of the Parent Contact List Authorisation Form and sign and return it to the P&F Contact List, c/- The College by the last day of term 4 for existing Parents and the 2nd Friday of the 1st School Term for new parents. To access the Authorisation Form click here
Do you need to re-apply every year?
No, your details will automatically be included in subsequent years unless the details are updated or you have advised us to remove you from the list. (See below).
How can you vary or update the details?
In order for the Parent Contact List to remain useful it is vital that any changes to contact details be advised to the P&F. You can notify us of the changes by completing a copy of the Parent Contact List Application referred to above. Again, this would need to be included prior to the last day of Term 4 for inclusion in the following years.
How can you remove contact details from the list?
You can write and sign a request for your details to be removed from the Parent Contact List and deliver it to the P&F c/- The College. Provided this is received prior the last day of Term 4 the change will be made for the upcoming list.
What happens when your son leave Year 12?
At this point, you will be invited to have your phone and email details switched across to a separate database "Friends of Waverley", should you wish to continue receiving information and being connected to the College in the following years. This option has been introduced in response to many Year 12 parents wanting to stay connected to the College in some way and be kept abreast of major events affecting the College. Otherwise, all information will be destroyed once your son leaves the College.
Terms and Conditions
To ensure we comply with privacy legislations, we have been advised to indicate to you the following:
- Once the P&F receives a completed Contact List Authorisation Form, names and details will be included on the list unless parents notify us in the manner indicated above.
- The list will only be used for the purpose of assisting parents with the name and basic phone contact details of other parents in their son's year, and MIC/Supporter's Clubs.
- Consequently, the list will only be circulated to other parents in your son's year as well as the MICs and the President of the Supporter's Club in which your son is involved.
- Details will carry over year to year unless you request these to be removed or varied.
- Any request to be included on the list, removed from the list or have information modified on the list must be forwarded to us in line with the procedure above and must be received prior to the last day of Term 4 to insure that the Parents Contact List can be modified for subsequent years.
- The P&F will take all the reasonable steps to ensure the information is accurate and to protect personal information from misuse, loss or unauthorised access.
- Once the information is no longer required it will be destroyed and this information will be managed in accordance with the Privacy Policy of the College.
- Unless parents of boys leaving in year 12 agree to have their details transferred to the "Friends of Waverley" database, their information will be destroyed.
